Clinicologist is operated by White Thread Doctors Solution Pvt. Ltd. (CIN U47721MH2023PTC406098).

These Terms of Use (“Terms”) are a legally binding agreement between you and White Thread Doctors Solution Pvt. Ltd., a company incorporated in India (CIN U47721MH2023PTC406098), with its registered office at Kaulane N, Kaulana, Malegaon, Nashik – 423208, Maharashtra, India (“Clinicologist”, “we”, “us” or “our”). They govern your use of the Clinicologist website, web app and related services (together, the “Service”).

By opening, browsing, signing in to or otherwise using the Service, you confirm that you have read, understood and agree to these Terms, our Privacy Policy and our Disclaimer. If you do not agree, please do not use the Service.

1. What Clinicologist is (and is not)

• Clinicologist is an online listing and discovery platform that helps doctors, healthcare professionals and students find medical conferences, CMEs, workshops, webinars and similar events (“Events”).
• We act only as an intermediary within the meaning of Sections 2(1)(w) and 79 of the Information Technology Act, 2000. We display information provided by event organisers, associations, institutions and other third parties (“Organisers”), or taken from their public announcements.
• Unless an Event page expressly states that it is “Organised by Clinicologist”, we do not organise, host, conduct, sponsor, endorse, accredit or control any Event, and we do not own the content of any Event listing.
• We do not take registrations, collect fees, process payments or refunds, issue tickets, certificates or CME / CPD credit hours, or arrange travel or accommodation. “Register” and similar buttons take you to the Organiser’s own website or a third-party platform.
• We are not a party to any contract, transaction or arrangement between you and an Organiser, sponsor, speaker, venue or any other third party.

2. Eligibility

The Service is meant for doctors, healthcare professionals, medical and allied-health students, and people working in medical education. You must be at least 18 years old and able to enter into a binding contract under the Indian Contract Act, 1872. By using the Service you confirm that you meet these requirements.

3. Organisers are solely responsible for their Events

For every Event not organised by us, the Organiser alone is responsible for:

• the accuracy, completeness and legality of the Event’s details, including dates, venue, programme, faculty, fees, deadlines, CME / CPD credits and accreditation;
• the conduct, quality, safety and content of the Event, and any change, postponement or cancellation;
• registration, payment, receipts, refunds, certificates, accommodation, travel and any other service connected with the Event;
• its own website, registration platform, communications and handling of your personal data, which are governed by the Organiser’s own terms and privacy policy.

Any question, complaint, claim or dispute about an Event (including fees, refunds, cancellations, certificates, credits, quality, conduct or safety) must be raised and resolved directly with the Organiser. Organiser details are shown on the Event page where available. We may, at our discretion, pass on a concern, but we have no obligation to resolve it and no liability for it.

4. Listings are for information only

• We try to keep listings current, but we do not independently verify every detail and we do not guarantee that any listing is accurate, complete or up to date, or that the Event will take place.
• Always confirm details on the Organiser’s official website before you register, pay, apply for leave or make travel plans.
• Labels such as “Closes in 3 days”, “Happening now” or “Registration closed” are calculated automatically from the dates we have, and may be wrong if an Organiser changes them.
• Listing an Event does not mean we recommend, endorse or vouch for it, its Organiser or its accreditation.

5. Your account

• You sign in with your own email address, using a one-time code sent to it or a password you set. Keep your email account, codes and password secure; you are responsible for all activity on your account.
• Give accurate information in your profile and keep it updated. Do not impersonate anyone or use someone else’s email address or number.
• Tell us straight away at contact@clinicologist.com if you think your account has been misused.
• You can delete your account at any time from Profile → Delete account.

6. Communications, promotions and your consent

White Thread Doctors Solution Pvt. Ltd. and its service providers may contact you on the mobile number, email address and other contact details you give us, through SMS, WhatsApp, email, phone calls, and push or in-app notifications, about:

• your account, sign-in codes, saved Events and changes to them (service messages);
• Events, conferences, CMEs, workshops and webinars related to your specialty, location or interests, or otherwise;
• promotional, sponsored and advertising content, including offers, updates and announcements from us, Organisers, sponsors, associations and partners (sent by us; we do not hand your contact details to them for this);
• surveys, feedback requests, new features and other information about the Service.

Service messages are sent to everyone with an account. The other messages above are sent only if you expressly consent by ticking the promotions box on the sign-in page. The box is unticked by default and is optional; you can use the Service without ticking it.

If you tick it, you agree that these communications are made at your request and with your consent, including for the purposes of the Telecom Regulatory Authority of India’s rules on commercial communications, even if your number is registered on the National Do Not Call (DND) registry.

Opting out: you can stop promotional messages at any time by replying STOP where offered, using the unsubscribe link in an email, or writing to contact@clinicologist.com. We will act on it within a reasonable time. Service messages, such as sign-in codes, cannot be switched off while you have an account. Withdrawing consent does not affect messages already sent.

7. Advertising, sponsored and featured listings

• Some Events, banners and placements (for example “Featured” or “Premium”) may be paid for or sponsored by the Organiser or a third party. Placement, order and highlighting are decided by us and do not indicate quality, endorsement or recommendation.
• The Service may show advertisements and sponsored content from third parties. We are not responsible for their products, services, claims or websites.
• We may change, remove or reorder any listing or placement at any time without notice.

8. Acceptable use

You agree not to:

• use the Service for anything unlawful, misleading, fraudulent or harmful;
• scrape, crawl, copy or harvest listings or data in bulk, or use bots or automated tools, without our written permission;
• try to access other users’ data, test or break our security, or interfere with the Service’s operation;
• upload or submit content that is false, defamatory, obscene or infringing, or that breaches Rule 3(1)(b) of the IT (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021;
• use the Service to send spam or unsolicited messages to other users or Organisers;
• resell, reframe or commercially exploit the Service without our written permission.

9. Organisers and listing submissions

If you submit an Event or any content to us (for example through the listing form), you confirm and agree that:

• you are authorised by the Organiser to do so, and the information is true, accurate and lawful;
• you own or have the rights to all names, logos, posters, images and text you submit, and they do not infringe anyone’s rights;
• you grant us a worldwide, royalty-free, non-exclusive licence to host, display, reformat, crop, promote and share that content on the Service, our social media, newsletters and marketing;
• you remain solely responsible for the Event and its content, and you will keep the listing up to date or tell us of changes;
• we may edit, decline, unpublish or remove any submission at our sole discretion, without giving reasons.

10. Intellectual property

The Service, its design, software, logos, the Clinicologist name and our original content belong to White Thread Doctors Solution Pvt. Ltd. or its licensors. You may use the Service for your personal, non-commercial purposes only. Event names, logos, posters and other Organiser material belong to their owners and are shown only to identify the Event. If you believe content on the Service infringes your rights, write to contact@clinicologist.com with details and we will review it.

11. Third-party websites and services

The Service links to Organiser websites, registration platforms, maps, payment pages and other third-party services. We do not control them and are not responsible for their content, security, availability, terms or privacy practices. Using them is at your own risk and subject to their terms.

12. No medical or professional advice

Nothing on the Service is medical, clinical, legal or professional advice. Event content, faculty and materials are the Organiser’s responsibility. Always use your own professional judgement.

13. Disclaimer of warranties

The Service is provided on an “as is” and “as available” basis. To the maximum extent permitted by law, we disclaim all warranties, express or implied, including accuracy, completeness, reliability, fitness for a particular purpose, non-infringement and uninterrupted or error-free operation. See also our Disclaimer.

14. Limitation of liability

To the maximum extent permitted by law:

• White Thread Doctors Solution Pvt. Ltd., its directors, employees, partners and service providers are not liable for any loss or damage arising from any Event or Organiser, including cancellation, postponement or changes, refunds, fees, travel or accommodation costs, missed deadlines, certificates or credits, the quality or conduct of an Event, or anything that happens at or because of an Event;
• we are not liable for any indirect, incidental, special, consequential, exemplary or punitive damages, or for loss of profits, income, data, opportunity, goodwill or professional standing, however caused;
• we are not liable for errors or omissions in listings, for third-party websites, or for any interruption, delay, bug, virus or loss of data;
• our total liability for all claims relating to the Service is limited to the amount you paid us for the Service in the 12 months before the claim, or ₹1,000 if you paid nothing.

Nothing in these Terms limits any liability that cannot be limited under Indian law.

15. Indemnity

You agree to indemnify, defend and hold harmless White Thread Doctors Solution Pvt. Ltd., its directors, employees, partners and service providers from and against any claims, losses, liabilities, damages, costs and expenses (including reasonable legal fees) arising out of or relating to your use of the Service, your breach of these Terms or of any law, any content you submit, or any dispute between you and an Organiser or other third party.

16. Suspension and termination

We may suspend, restrict or end your access to the Service, or remove any content, at any time and without notice if we believe you have breached these Terms or the law, or to protect users or the Service. Sections that by their nature should survive (including sections 3, 9, 10, 13, 14, 15 and 18) survive termination.

17. Changes to the Service and these Terms

We may change, suspend or discontinue any part of the Service at any time. We may update these Terms; the date at the top shows the latest version, and material changes will be announced on the Service. Continuing to use the Service after changes take effect means you accept the updated Terms.

18. Governing law and disputes

• These Terms are governed by the laws of India.
• Talk to us first: please write to contact@clinicologist.com; we will try to resolve the matter amicably within 30 days.
• Arbitration: if it is not resolved, it will be finally settled by arbitration under the Arbitration and Conciliation Act, 1996, by a sole arbitrator. The seat and venue will be Nashik, Maharashtra, and the language English.
• Courts: subject to the above, the courts at Nashik, Maharashtra have exclusive jurisdiction, including for interim relief.

19. General

• These Terms, the Privacy Policy and the Disclaimer are the entire agreement between you and us about the Service.
• If any provision is found unenforceable, the rest remain in full effect.
• Our not enforcing a right is not a waiver of it.
• You may not transfer your rights under these Terms. We may assign ours, for example on a merger or sale of the business.
• We are not liable for delays or failures caused by events beyond our reasonable control (force majeure).
• These Terms are an electronic record under the Information Technology Act, 2000 and need no physical or digital signature.

20. Grievance Officer and contact

In line with the Information Technology Act, 2000 and the rules made under it, complaints about the Service or its content can be sent to our Grievance Officer. We will acknowledge a complaint within 24 hours and aim to resolve it within 15 days. For Event-related issues, please contact the Organiser first (see section 3).
